Appointments, Payments & Cancellation Policy

Gnadenfrei Client Journey:

At Gnadenfrei, we understand the courage it takes to seek support, and we honour the trust you place in us. Many of our clients experience complex mental‑health challenges, and we work hard to create a care experience that is safe, consistent, and grounded in compassion.


This policy is designed to guide you gently and clearly through what to expect — from booking your first session to attending appointments and managing payments in a way that supports your wellbeing and the sustainability of our service.


Before Your First Appointment


Securing Your First Session — $50 Deposit

To confirm your first appointment, we require a $50 deposit.


  • The deposit is deducted from your first session fee
  • It does not affect any rebates you might receive
  • It allows your practitioner to set aside the time needed to prepare thoroughly for your session


Your first appointment typically involves significant preparation, including reviewing intake information, reading referrals, planning assessments, and ensuring we understand how to support you safely and effectively.


If you need to reschedule


  • You may change your appointment any time up to 48 hours beforehand with no penalty
  • If you do not attend your first appointment or cancel within the 48‑hour window, the deposit is retained in line with our cancellation policy

Secure Payment Setup (Halexy)


Why We Require Credit‑Card Details on File

To make payments easier and reduce stress after sessions, we ask all clients to securely store their credit‑card details in Halexy, our practice management system.


Your privacy and safety


  • Halexy uses banking‑level encryption
  • Once your card details are entered, we cannot see or access them
  • You enter your information via a secure online form
  • Halexy handles payments automatically and safely


This system:


  • Reduces admin stress for clients
  • Allows practitioners to focus fully on care
  • Ensures smooth processing of session and cancellation fees
  • Helps us keep our service sustainable


If you need help with this process, our practice manager can walk you through it — she’s a warm and creative social worker who is great at finding flexible solutions.


Attending Your Appointments


Late Arrivals


We understand that mental‑health symptoms, stress, and unexpected events can make arriving on time difficult.


If you arrive late:


  • You are still welcome to attend
  • Your session will finish at the scheduled time
  • The full fee will still apply


This protects the time of the next client and keeps sessions consistent and predictable.


Payment for Sessions

Fees Are Due at the End of Each Session


Session fees are charged automatically via Halexy at the end of your appointment.

We know that finances, executive‑function difficulties, and periods of distress can sometimes make payment challenging. We approach these conversations gently and without judgement.


However


To maintain fairness and sustainability, we cannot book further appointments until outstanding fees are paid.


Please talk to us early if you’re struggling — we will always do our best to support you.


Why Your Fees Matter


Your session fee is an investment in your mental health and recovery.


It covers more than the time you spend face‑to‑face with your practitioner. High‑quality mental‑health care includes substantial work before and after each appointment, such as:


  • reviewing your notes and progress
  • preparing therapeutic plans
  • documenting your session thoughtfully
  • assessing risk and safety
  • planning next steps
  • coordinating care (if needed)
  • engaging in supervision and reflective practice


Your investment helps us provide care that is safe, tailored, and clinically effective.


Cancelling or Rescheduling Appointments

How to Avoid Cancellation Fees


To avoid fees, please contact us before 4:00 pm on the business day prior to your appointment.


  • Notices after 4:00 pm are considered same‑day cancellations
  • Same‑day cancellations and no‑shows incur a fee
  • This applies even if your sessions are funded (e.g., WorkCover QLD, insurers)
  • Outstanding cancellation fees must be paid before further appointments can be booked


This process helps ensure appointments are available to others who are waiting for support.


Cancellation Fees


  • One business day prior: 50% of the full fee
  • Same day or no notice: 100% of the full fee


These fees reflect the time set aside specifically for you and the preparation undertaken for your session.


Extenuating Circumstances


We understand that life can be unpredictable, and mental‑health crises or emergencies can arise suddenly.


If something outside your control prevents you from attending:


✨ Fees may be reduced or waived at our discretion
✨ Just let us know as soon as you can
✨ We will always approach this with warmth, understanding, and compassion

We never want financial stress, fear, or anxiety to be a barrier to accessing support.


Our practice manager is a lovely, experienced social worker who understands complexity and has lots of creative, flexible ways to help.

Our Commitment to You

Fees

 

Gnadenfrei Counselling & Psychology is a Professional Service and operates on a

fee-for-service basis.  We are not a Bulk Billing practice.
 

Registered Psychologist: 

 Standard Fee:  $240.00 (55min)

Medicare rebate: $98.95


Mental Health Social Worker:

 Standard Fee:  $167.00 (55min)    


Counsellors:

Standard Fee: 167.00 (55min)


Couples Counselling 

Standard Fee: $250 (90min)


EMDR Therapy

Standard Fee as above x 1.5  (90 min)

Medicare rebate available in some circumstances


Reports and Assessments 

Please discuss this during your enquiry and intake calls as it will vary depending on the type of report, time required, and clinician completing the report/Assessment

3rd party funding 

NDIS | WorkCover | DVA | Victums Assist | Pain Wise | Priviate Health Insurance

We accept clients with the above funding. Please contact Reception as each scheme has their own pricing guides and policies guiding participation in its schemes. However, we do require written confirmation from the 3rd party funder and a signed service agreement including payment terms before we can off an appointment.


In order to claim a Medicare rebate, your referring General Practitioner (or other relevant medical practitioner) is required to have lodged a Mental Health Care Plan with Medicare.  We will require a copy of this Care Plan prior to, or at the time of your first appointment. 


If you are looking to make a claim through your Private Health Insurance, you do not need a Mental Health Care Plan or a referral from your doctor.  You will need to check with your health insurance provider to see what rebates they offer, and we will supply you with an invoice/receipt which you can lodge with them.


Financial Assistance may be possible through the generosity of the Blue Butterfly Foundation for Trauma and Abuse Ltd.
